1. Who We Are
Field Guide IQ ("we," "our," or "us") is a mobile application that allows companies to upload their internal documents — policies, procedures, SOPs, and handbooks — and give their employees AI-powered access to that information.
This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.
2. Information We Collect
Account Information
When you create an account, we collect:
- First and last name
- Email address
- Job title (optional)
- The company you are associated with (via company code)
- Account role (Admin or Employee)
Company Documents
If you are a company administrator, you may upload documents (PDF, Word) to the platform. These documents are stored securely in Google Firebase Storage and are accessible only to members of your company who have been granted access.
AI Conversation History
When employees ask questions through the AI chat feature, those conversations are stored in our database associated with your company account. Conversations are used to provide answers and to generate usage analytics for company administrators.
Usage Data
We collect basic usage data including which documents were accessed, when the app was used, and how many AI queries were made. This data is shown to company administrators in the Analytics section of the app.
Authentication Data
We use Firebase Authentication to manage sign-in. If you sign in with Google or Microsoft, we receive your name, email address, and profile photo from those providers. We do not receive or store your Google or Microsoft password.
Device Information
We do not collect device identifiers, location data, contacts, photos, or any sensor data.
3. How We Use Your Information
- To create and manage your account
- To authenticate you when you sign in
- To provide AI-powered answers sourced from your company's uploaded documents
- To show company administrators analytics about document usage and employee activity
- To send you notifications about document updates (if enabled in your profile)
- To improve the reliability and performance of the app
We do not use your information for advertising, marketing to third parties, or building advertising profiles.
4. How We Share Your Information
We do not sell your personal information. We share information only in these limited circumstances:
- Within your company: Company administrators can see employee names, email addresses, job titles, and AI usage activity for members of their organization.
- Service providers: We use Google Firebase (for authentication, database, and file storage) and Anthropic (to power the AI chat feature). These providers process data on our behalf and are bound by their own privacy policies and data processing agreements. Field Guide IQ uses Anthropic's commercial API, under which your company's documents, questions, and conversations are not used to train Anthropic's AI models and are not used to train any AI model for any other customer. Your data is never shared with, or made available to, any other company using Field Guide IQ.
- Legal requirements: We may disclose information if required by law, court order, or to protect the rights and safety of our users.
5. Data Storage and Security
All data is stored using Google Firebase infrastructure, hosted in the United States. We implement the following security measures:
- All data is encrypted in transit using TLS
- Firebase Storage and Firestore data is encrypted at rest
- Access to documents is controlled by company-level permissions set by administrators
- Optional two-factor authentication (TOTP) is available for all accounts
- AI processing is performed server-side — your Anthropic API keys are never exposed to the app
6. Data Retention
We retain your account information and company data for as long as your account is active. If a company administrator deletes a document, it is removed from our storage and can no longer be retrieved by the AI.
Documents, questions, and conversations sent to Anthropic to generate AI answers are automatically deleted from Anthropic's systems within 30 days and, as stated above, are never used to train Anthropic's AI models.
If you wish to delete your account and all associated data, contact us at the email address below. We will process deletion requests within 30 days.
7. Children's Privacy
Field Guide IQ is intended for use by employees of companies and organizations. It is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately.
8. Your Rights
Depending on your location, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal information we hold about you
- Correction: Request that we correct inaccurate information
- Deletion: Request that we delete your account and personal data
- Portability: Request an export of your data in a machine-readable format
- Opt-out: Disable push notifications at any time in your device settings or in-app profile settings

9. Third-Party Services
Field Guide IQ uses the following third-party services. We encourage you to review their privacy policies:

- Google Sign-In / Microsoft Sign-In — Optional single sign-on: subject to Google's and Microsoft's respective privacy policies
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of the app after changes constitutes acceptance of the updated policy.
